The Senior Revenue Specialist is responsible for ensuring accurate and timely billing, as well as following up on account receivables. The billing may involve some of our more complex clients where split billing is required, including e-billing all the while ensuring billing is compliant with relevant regulations, rules, and laws. The Revenue Specialist must be target driven and be confident in dealing with all client enquiries relating to both billing and accounts receivables.

Responsibilities

  • Prepare monthly prebills for distribution to attorneys, including for more complex client bills.
  • Monitor office monthly billable WIP and report status to management. 
  • Communicate with attorneys and secretaries to address any billing questions or report requests. 
  • Edit, prepare and finalize monthly prebills. 
  • Ensure accurate billing rates and fee structures for new matters in collaboration with the local Compliance team
  • Monitoring aged receivables, contacting clients regarding past-due invoices, and developing strategies to improve collections.
  • Manage maintenance process for new matter set-up of bill groups, multi-payer set-up, addresses, formats, task codes and various Firm and client coding. General maintenance including matter reopening, closing, address changes, client name changes and requests for billing/responsible attorney name changes. 
  • Oversee review of outside counsel guidelines and engagement letters from clients to ensure discounts in the  accounting databases are consistent with our understanding with clients. Ensure correct approvals of discounts are obtained.
  • Compile, disseminate and be well versed on client billing guidelines and institutionalized discounts. Ensure set-up complies with local regulations, for example, Law Society in England & Wales & Hong Kong & VAT. 
  • Implement, track and report on alternative fee arrangements in the accounting system.
  • Document and track Firm-wide client discounts and ensure proper approvals are obtained. Document and communicate new discount arrangements.
  • Provide estimates to clients through electronic billing systems budget feature or directly emailed to the client. 
  • Where necessary, validate figures included in responses to client requests.
  • Process electronic billing vendor invoices to ensure correct billing and thresholds have been met.

Candidate Profile

  • Degree required, in accounting, finance or related field preferred.
  • Law firm compliance and electronic billing experience required.
  • Excellent written and oral communication skills, including the ability to communicate potentially detailed and complex information to others.
  • Experience with computerized accounting systems, CMS/Aderant a plus.
  • Experience with various E-billing systems.
  • Advanced knowledge of Microsoft Excel.
  • Thorough knowledge of MS Office applications including Word and Outlook.
