An outstanding opportunity has arisen for a highly organised and proactive Legal Team Assistant to join a prestigious global law firm on a 12‑month fixed‑term contract. Key Responsibilities

As a Legal Team Assistant, you will provide comprehensive administrative support to a group of senior lawyers. Your responsibilities will include:

Administrative & Client Support

  • Answering calls, directing enquiries, taking accurate messages, and arranging conference calls.
  • Managing written and electronic correspondence, including editing and improving grammar and terminology where needed.
  • Liaising with clients, handling requests, and preparing and sending materials.
  • Preparing client bills and drafting accompanying cover letters.
  • Creating new matter reports and maintaining client/matter code lists.

Diary, Travel & Time Management

  • Managing complex Outlook calendars.
  • Maintaining lawyers’ time entries using Carpe Diem.
  • Coordinating travel arrangements and processing expenses via Concur.
  • Monitoring professional development requirements for assigned lawyers.

Document & Information Management

  • Using MS Office to prepare documents, spreadsheets, and presentations.
  • Maintaining accurate filing systems in line with firm standards, including Kwiktag.
  • Utilising iManage for document management.
  • Updating contact information in the firm’s CRM, ensuring best‑practice data management.
  • Managing administrative and personal charge processing through BillBack.

Team Coordination

  • Scheduling meetings, reserving rooms, arranging AV equipment, and organising catering.
  • Coordinating workflow with Office Services and other internal teams.
  • Delegating appropriate tasks to Legal Team Administration Assistants.
  • Keeping clear, up-to-date handover notes to ensure service continuity.
  • Supporting projects and tasks assigned by lawyers, the Legal Team Coordinator, or line manager.

Who You’ll Work With

You’ll collaborate daily with:

  • Lawyers, paralegals, and business services teams
  • Clients, counsel, and occasionally court personnel
  • Key departments including Finance, Reception, Hospitality, Facilities, and regional offices across the firm’s international network

Skills & Experience

We are looking for candidates who can demonstrate:

  • Previous legal secretarial or administrative experience within a law firm
  • Strong academic background; university education preferred
  • Native or bilingual English fluency
  • Typing speed of 65wpm and strong MS Office proficiency
  • Excellent organisational skills with a meticulous eye for detail
  • Ability to prioritise, multi‑task, and meet deadlines
  • Discretion and ability to handle confidential information
  • A proactive, confident approach with a strong client‑service mindset
  • Willingness to learn and take initiative beyond core responsibilities
  • A collaborative team-player attitude
